Student Services Assistant (Higher Education)
Location: On-Site - Cardiff
Hours: Full-Time - 35 hours
Salary: £13.87 an hour
We are seeking a friendly, organised, and customer-focused Student Services Assistant to join a busy Higher Education environment. This role is a fantastic opportunity for an administrator who enjoys supporting people, providing excellent customer service, and working as part of a collaborative team.
As a key member of Student Services, you will act as a first point of contact for students, staff, and visitors, providing information, administrative support, and guidance across a range of student-facing services. You will help ensure a seamless and positive experience by resolving routine enquiries, maintaining accurate records, and supporting the day-to-day operations of the wider team.
Key Responsibilities
- Act as a first point of contact for students, staff, visitors, and external stakeholders, delivering a professional and welcoming service.
- Respond to and resolve routine enquiries, escalating more complex issues to the appropriate team where required.
- Provide support with enrolment queries, programme registrations, ID cards, appointments, room bookings, and general information requests.
- Create, update, and maintain student records, ensuring accuracy, confidentiality, and compliance with data protection requirements.
- Gather information and produce standard reports as required.
- Support the organisation and delivery of student events, meetings, and activities.
- Assist with attendance monitoring and administrative processes linked to the student experience.
- Issue uniforms, equipment, and other resources where required.
- Maintain and update information across relevant systems, databases, and online resources.
- Support coursework submission processes and other routine student administration activities.
- Carry out a variety of general administrative duties including email management, filing, record keeping, data entry, and document preparation.
- Build effective working relationships with colleagues and contribute positively to team objectives.
- Follow established procedures and promote best practice across Student Services.
- Support the induction and training of new team members where appropriate.

Essential Skills & Experience
- Experience carrying out administrative tasks within a busy office or customer service environment.
- Excellent written and verbal communication skills.
- Ability to deal with people professionally, courteously, and respectfully, both in person and remotely.
- Strong attention to detail and ability to record information accurately.
- Understanding of confidentiality and the importance of handling sensitive information appropriately.
- Good IT skills, including Microsoft Word, Excel, Outlook, and data entry systems.
- Ability to organise and prioritise your workload effectively.
- Strong teamwork skills with a willingness to support colleagues.
- Ability to use initiative, identify issues, and suggest practical solutions.
- Experience undertaking general administrative duties such as filing, arranging meetings, and maintaining records.
Desirable
- Experience working within Higher Education or an educational environment.
- Welsh language skills.
- Willingness to learn Welsh.
